Custom CRM or off-the-shelf: which do you need?

The short answer

If an off-the-shelf CRM fits the way your business already works, use it: it is quicker and cheaper to start. A custom CRM is worth it when you are paying per-user fees for a growing team, changing how you work to suit the software, or running spreadsheets alongside it to fill the gaps. A custom system costs more upfront but has no per-user licence fees, and you own it.

"No licence fee" does not mean no running costs. A custom system still needs hosting, and services such as text messages or email sending are paid for as they are used.

When is off-the-shelf the right choice?

When your needs are ordinary. If you want to store contacts, track sales and send follow-up emails, the established CRM products do that well, and their own onboarding will get you set up. We would tell you that before selling you a build you do not need.

How long does a custom CRM take to build?

A simple system with contact management and dashboards typically takes 4 to 6 weeks. Multi-user platforms with payments, automated workflows and integrations run to 8 to 16 weeks. The timeline is agreed upfront in a written quote.

How much does a custom CRM cost?

Every build is quoted individually after a free scoping call, with the price fixed in writing before work begins. Hosting and support are included for the first 12 months.

Do I own a custom CRM once it is built?

Yes. You get the source code, the database and the hosting details, and you can move it to another developer if you ever want to.

Will you set up HubSpot or Salesforce for me?

No. Those companies provide their own setup help, and that is the better route if their product suits you. We build custom systems for businesses that have outgrown standard software.

Can a custom CRM work on phones?

Can it connect to the software I already use?
